Course Approvals
All students participating in the 360 International Semester Exchange programme must have prior course and study plan approval.
General information
From March 2025, students going on exchange will request department approval & faculty approval through two separate online forms (with the exception of students participating in a Law exchange).
It is your responsibility to ensure that any courses taken on exchange have prior approval and meet the Programme Requirements for your University of Auckland programme. Use the ‘My Programme Requirements’ function in Student Services Online (SSO) to ensure you have a suitable plan to meet all of your degree requirements.
Courses may be approved for University of Auckland credit without fulfilling the necessary requirements for graduation in your degree, so check your Programme Requirements carefully and seek advice from the Faculty Programme Advisors or Student Hubs if you are unsure.
If you require any new courses to be assessed for a change to your study plan, you must submit all new requests before the deadline to change enrolments at the host university.
Summary of required steps
We advise that you read this page in full before proceeding through the process, however this is a simplified step-by-step overview of the steps you need to complete to request department and faculty approval of your proposes courses and overall study plan for your semester on exchange.
PHASE ONE: Requesting Department Course Assessments
- Submit ONE Form PER COURSE through the Course Assessment Request Form
- You will receive emails from 360 International advising you of the results of the department assessment for each course, that you need to collate together before proceeding to Phase 2.
- We recommend keeping track of all submitted requests and responses in one place for easy reference later.
- Familiarize yourself with the Study Plan Agreement forms in advance as well so you know how many total courses you might need to make up a standard full-time course load.
PHASE TWO: Requesting Faculty approval of your Study Plan
- Collate your approved courses from the department assessment responses into the appropriate PDF Study Plan Agreement form, showing your proposed study schedule at the host university (preferred courses + possible alternates)
- Note, be sure to use the Adobe app to complete your form using the fillable fields available in the form. Avoid adding text on top of the fillable fields or editing the form in a web browser window.
- Upload your Study Plan Agreement with your online request form for Faculty Approval.
PHASE THREE: Request additional assessments & update your Study Plan
- Repeat the steps above in response to any schedule changes at the host university, ensuring that your final Study Plan Agreement on file with 360 International matches your schedule of enrolment at the host university.
Requirements for credit
360 International will only be able to post credit for courses taken during your exchange where:
- prior department and faculty approval has been confirmed;
- the stated course load requirements have been met;
- and you have received passing grades at the host university.
Credits can only be posted in increments of 15 points (with the exception of Law courses, which may be credited in increments of 5).
Where the standard full-time course load at the host university is more or less than four courses, it is your responsibility to ensure that you have taken appropriate courses in a corresponding pair, set, or bundle for full credit to be applied upon return.
Course selection
When selecting courses, you should review your Programme Requirements at the University of Auckland and look for courses that meet similar learning objectives to those required for your programme here.
Please also keep in mind:
- It is always important to have backup options as schedules and course availability can change.
- University of Auckland course and study plan approval does not guarantee the availability of courses or your enrolment at the host university. It is also important that you check that there are no restrictions against enrollment and that you meet any relevant prerequisites.
- You must take reasonable care in ensuring that the courses you would like to take will be offered by the host university in the semester/term that you will be enrolled on exchange. This may not always be possible, so if referring to a previous year's course catalogue, look at which semester the course was last taught.
- New Zealand's academic calendar and seasons are opposite most all of our partner universities, and the host university's course catalogue and websites will refer to terms according to their own local calendar.
Specified vs. Unspecified credit
Each of our partner universities have their own unique curriculum offerings. Depending on how closely the courses offered at the host university match those taught at the University of Auckland, you may apply for specified or unspecified credit.
- SPECIFIED CREDIT: Where the host university course is very similar to a specific course taught at the University of Auckland, 'specified' credit may be granted with a comparable University of Auckland course code. Where you have specific courses listed in your degree planner, generally specified credit will be required. Example: ACADENG101: Academic English Writing
- UNSPECIFIED CREDIT: If a comparable course is not taught at the University of Auckland, you may request 'unspecified' credit. Unspecified credit is more likely to be approved towards non-major requirements. Example: Arts Unspecified Level 100
Course approval for Law exchanges
Students participating in a Law exchange should submit their requests directly to the Law faculty through the link below by 1 June 2025.
Requesting department assessments
Each course you wish to take on exchange must be assessed by a University of Auckland academic to assign a course equivalent. Please request an assessment for 1-2 backup courses for each course that you wish to take on exchange in case any of your preferred courses are not available for enrolment. Additional assessments should only be requested if your original requests are declined or otherwise unavailable for enrollment at the host university.
Note: Extra courses taken to fulfil courseload requirements do not require department assessment (e.g. the fifth course in a set taken of 3 credit or 6 ECTS courses to total 15 credit hours or 30 ECTS)
It is important to familiarize yourself with the Study Plan Agreement templates as you begin the process of requesting course assessments.
Requesting faculty approval
Once you have collated the department assessors' responses to your course assessment requests, you must compile these into the Study Plan Agreement form, as appropriate for your destination of study, and submit these for final faculty review and approval. The Faculty Advisors will review your Study Plan to confirm that your chosen courses appropriately align with your degree requirements.
Semester Two 2025 cohort deadlines
- All initial courses being submitted for assessment must be submitted by 15 May 2025.
- Requests for faculty approval must be submitted no later than 1 June 2025.
- You must have a signed Study Plan Agreement returned to 360 International by 15 July 2025.
- Students who have not submitted their requests on time and/or those without a signed Study Plan Agreement showing sufficient approvals for at least 45 points of credit will be withdrawn from the exchange programme.
If there are any changes to your proposed study plan, you must submit all additional requests for course assessment promptly, with an updated request for a new Study Plan Agreement reflecting your host university enrolment schedule.
Your final Study Plan Agreement must match the course schedule you are enrolled in at the host university and should be finalized within the first two weeks of your exchange.
Study Plan Agreement Forms
Please select the Study Plan Agreement template that is most relevant to your exchange study destination. If you are combining courses of variable units of credit, select the template that allows you to best show your overall study plan with total units of credit in mind. Contact the 360 International team if you need any assistance in selecting the appropriate template.
